Corporate & Group

‍Last updated: 28 September 2026

These Corporate & Group Booking Terms apply to reservations made for corporate, organizational, group or multiple-room stays through Samara Stays, where specific group or corporate conditions are expressly offered or agreed.

These Terms supplement the Samara Stays Terms & Conditions, Booking & Payment Policy, and Refund & Cancellation Policy. Where specific written conditions are agreed for a particular group booking, those conditions shall apply to the extent permitted by applicable law.

1. Scope

A Corporate or Group Booking may include, depending on the circumstances:

  • reservations involving multiple accommodation units;
  • reservations made on behalf of a company or organization;
  • corporate travel;
  • meetings or business stays;
  • group travel;
  • retreats;
  • events;
  • extended group accommodation; or
  • other reservations for which specific group conditions are offered.

A reservation does not become a Corporate or Group Booking merely because the guest is travelling for business purposes.

2. Group Booking Requirements

Samara Stays may establish minimum requirements for a group booking, including:

  • minimum number of rooms or accommodation units;
  • minimum number of nights;
  • advance booking periods;
  • payment deadlines;
  • deposits;
  • cancellation conditions;
  • identification requirements; and
  • other conditions appropriate to the booking.

The applicable requirements will be communicated before the group booking is confirmed.

3. Group Booking Request

A group or corporate booking request may require information including:

  • company or organization name;
  • booking contact;
  • number of guests;
  • requested accommodation;
  • arrival and departure dates;
  • room requirements;
  • billing information; and
  • special requirements.

Submitting a group booking request does not itself constitute a confirmed reservation.

4. Group Booking Confirmation

A group booking becomes binding when the applicable booking conditions have been accepted and the required confirmation and payment requirements have been satisfied.

The confirmation may specify:

  • accommodation;
  • dates;
  • number of rooms;
  • number of guests;
  • applicable rates;
  • payment schedule;
  • cancellation conditions;
  • applicable deposits; and
  • other agreed conditions.

5. Rates

Corporate or group rates may differ from publicly available rates.

A group or corporate rate is applicable only to the booking for which it has been expressly offered or confirmed.

Unless otherwise agreed, a negotiated rate does not create a continuing entitlement to the same rate for future reservations.

6. Payment

The applicable payment schedule will be communicated as part of the group booking conditions.

Depending on the booking, payment may require:

  • full payment at booking;
  • an advance deposit;
  • staged payments; or
  • another agreed payment arrangement.

Failure to make a required payment by the applicable deadline may result in cancellation or release of the reserved accommodation, subject to the applicable booking conditions and law.

7. Deposits

Where a deposit is required, the amount and payment deadline will be communicated before confirmation.

Any deposit will be applied in accordance with the agreed booking conditions.

Where a deposit is refundable, the applicable refund conditions will be stated in the booking confirmation.

8. Room Allocation

For group bookings, individual room allocation may be:

  • confirmed at the time of booking;
  • provided by the booking contact;
  • completed before arrival; or
  • managed during the applicable check-in process.

Specific room requests remain subject to availability unless expressly confirmed.

9. Guest List

For group bookings, the booking contact may be required to provide a guest list or other information reasonably necessary to administer the reservation.

Guests may also be required to provide identification at check-in where required by applicable law or the accommodation's operating procedures.

The booking contact is responsible for ensuring that information supplied on behalf of the group is accurate.

10. Changes to Group Size

Changes to the number of guests or accommodation units may affect:

  • availability;
  • applicable rates;
  • taxes;
  • room allocation;
  • minimum-stay requirements; and
  • cancellation conditions.

Requests to increase or reduce the size of a group are subject to availability and confirmation.

11. Cancellation

Group and corporate bookings may be subject to cancellation conditions different from standard individual reservations.

The applicable cancellation deadlines and charges will be communicated before the group booking is confirmed.

Where no specific group cancellation conditions have been agreed, the cancellation conditions presented for the applicable reservation or rate shall apply.

12. Reduction in Group Size

A reduction in the number of rooms, guests or nights may be treated as a partial cancellation.

Where applicable, the resulting charges will be determined according to the agreed group booking conditions.

13. No-Show

Where one or more members of a group fail to arrive without cancellation in accordance with the applicable conditions, the relevant accommodation may be treated as a no-show.

Any applicable charges will be determined by the booking conditions.

14. Changes to Dates

Requests to change arrival or departure dates are subject to availability and approval.

A change of dates may result in:

  • a different rate;
  • additional charges;
  • loss of an agreed rate;
  • a change to cancellation conditions; or
  • inability to accommodate the requested change.

No date change is effective until confirmed.

15. Corporate Billing

Where a company or organization is responsible for payment, the billing information supplied by the booking contact must be accurate.

The applicable accommodation provider may issue the relevant invoice or fiscal document in accordance with applicable requirements.

Unless expressly agreed otherwise, the company or organization remains responsible for amounts properly due under the confirmed booking.

16. Individual Guest Responsibility

A corporate or group booking does not transfer responsibility for individual guest conduct.

Each guest remains responsible for complying with:

  • applicable property rules;
  • guest conduct requirements;
  • applicable laws;
  • occupancy restrictions; and
  • reasonable instructions issued by the accommodation operator.

The booking contact may also be responsible for coordinating the group's compliance where appropriate.

17. Events and Functions

A group accommodation booking does not automatically authorize:

  • parties;
  • private events;
  • commercial events;
  • meetings;
  • filming;
  • photography;
  • receptions; or
  • other organized activities.

Where an event or function is contemplated, it must be expressly agreed in advance.

Additional conditions may apply.

18. Special Arrangements

Requests concerning matters such as:

  • meeting spaces;
  • meals;
  • transport;
  • accessibility;
  • room configuration;
  • early arrival;
  • late departure;
  • equipment; or
  • other group requirements

are subject to availability and must be expressly confirmed.

A request should not be treated as accepted merely because it has been submitted.

19. Accommodation Rules

All members of a group remain subject to the rules applicable to the relevant accommodation.

This includes rules concerning:

  • occupancy;
  • noise;
  • smoking;
  • pets;
  • visitors;
  • damage;
  • security;
  • access;
  • check-in and check-out; and
  • prohibited activities.

The Samara Stays Guest Conduct & Property Rules also apply unless specific property conditions provide otherwise.

20. Damage and Additional Charges

Damage caused by members of a group, subject to applicable law, may result in charges being applied to the responsible guest or, where appropriate, the booking party.

Additional charges may also arise from:

  • exceptional cleaning;
  • lost keys or access devices;
  • unauthorized occupancy;
  • unauthorized events;
  • damage to property; or
  • other verified costs arising from a breach of the applicable booking conditions.

Any such charges must be supported by the relevant circumstances and applied in accordance with applicable law.

21. Group Booking Contact

Where a group booking has a designated booking contact, Samara Stays may communicate booking-related matters through that contact.

The booking contact is responsible for communicating relevant information to the members of the group.

This does not prevent individual guests from contacting Samara Stays concerning matters relating specifically to their own stay.

22. Corporate Travel Agencies and Intermediaries

Where a company or organization makes a reservation through an authorized travel or booking intermediary, additional terms may apply to the relationship between that intermediary and its customer.

The accommodation reservation itself remains subject to the applicable Samara Stays booking conditions and property rules, unless expressly agreed otherwise.

23. Confidentiality of Negotiated Conditions

Commercial conditions specifically negotiated for a corporate or group booking are intended for the relevant booking parties and should not be disclosed or represented as generally available rates unless expressly authorized.

24. Unavailability

In exceptional circumstances, previously confirmed accommodation may become unavailable.

Where this occurs, Samara Stays will seek to provide a reasonable solution, which may include alternative accommodation, changed arrangements, credit or refund, depending on the circumstances, applicable booking conditions and mandatory law.

25. Force Majeure

Where circumstances beyond reasonable control materially affect the performance of a group booking, the parties may be unable to perform some or all of their obligations.

Such circumstances may include natural disasters, war, civil unrest, government restrictions, epidemics or pandemics, major transport disruption, infrastructure failure, utility interruption, severe weather and other comparable events.

The consequences of such circumstances shall be determined in accordance with the applicable booking conditions and mandatory law.

26. Corporate and Group Booking Modifications

Samara Stays may update these Terms from time to time.

The version applicable to a particular reservation shall be determined by the conditions applicable when that reservation was confirmed, unless a later modification is expressly accepted by the relevant parties.

27. Mandatory Rights

Nothing in these Corporate & Group Booking Terms excludes or restricts any mandatory legal right or protection.

Where mandatory law applies, it shall prevail over any inconsistent provision of these Terms.
